Turn one operational bottleneck into a controlled working system.

This consulting engagement starts with the workflow and its evidence. We decide where ordinary automation is enough, where AI earns its place, and how every consequential action remains reviewable.

The consulting decision

Do not automate a process the business has not understood.

We begin with the question, the people waiting on it, the records required to answer it, and the next step a correct decision unlocks. That often reveals a simpler fix than a custom AI build.

  • Use process repair when ownership or sequence is unclear.
  • Use ordinary automation when the rule is stable and testable.
  • Use AI when interpretation, synthesis, or unstructured evidence is the real bottleneck.
  • Use a Business Brain route when the answer must lead to a controlled cross-system action.
  1. Workflow evidence pack

The current route, volume, waiting time, exceptions, manual work, owners, and failure consequences.

  2. Automation decision

A written choice between process repair, rules-based automation, an off-the-shelf AI feature, or custom implementation.

  3. Authority and control map

The source for each material fact, access boundary, freshness rule, conflict behavior, approver, and permitted action.

  4. Working first route

The smallest implementation that can create a useful result under the agreed boundary.

  5. Acceptance and handoff

Real cases, edge cases, failure results, operational ownership, documentation, and the evidence required for a scale decision.

Qualification

A clear fit is more useful than a broad sales claim.

The service is strongest when the business can provide an owner, representative cases, and access to the systems that hold the evidence.

Good first engagement

  • A repeated decision or task creates visible waiting or rework.
  • The business can name the people who own the process and records.
  • A wrong or late result has a concrete consequence.
  • The first useful action can be described and bounded.

Fix something else first

  • The objective is simply to “add AI” without a business decision.
  • No owner can resolve conflicting source records.
  • Volume is low and exceptions make automation more expensive than the work.
  • The project depends on unrestricted autonomous access to sensitive systems.

Buyer questions

What to establish before an AI automation engagement.

These boundaries matter more than a long list of model and integration logos.

When should we hire an AI automation consultant?

Hire a consultant when the workflow crosses systems, the evidence or exceptions are difficult to model, or the action carries enough consequence to require explicit controls. A simple, stable rule in one application may be better handled with an ordinary integration or built-in feature.

What do we receive from the engagement?

The core deliverables are a current-state workflow and baseline, a source and control map, a scoped implementation decision, a working first route where justified, acceptance results, and a handoff record. Exact connectors and artifacts depend on the selected workflow.

Do you automate the whole business?

No. The first engagement deliberately covers one bounded workflow. Expansion is considered only after the business can inspect the result, failure behavior, operating burden, and measured change from the baseline.

Can you work with our existing CRM and tools?

Usually. The discovery checks available APIs, webhooks, export routes, identity controls, and data quality before any integration promise is made. A software replacement is recommended only when the current boundary cannot support the use case.

How long does implementation take?

There is no responsible universal timeline. Schedule depends on source access, exception count, integration quality, approval requirements, security review, and how quickly business owners can verify test cases. The diagnostic is designed to expose those dependencies before a build commitment.
