Free templates for knowledge-base and assurance work.

Four vendor-neutral CSV worksheets for defining the records, owners, permissions, actions, and tests behind a dependable company knowledge system.

Start with one controlled record, not a blank software project.

Each worksheet answers a different operating question. Download only the one that matches the work in front of you, replace the sample assumptions, and review it with the person who owns the outcome.

01

Business assurance testing case template

Write observable cases for source authority, identity, access, freshness, conflicts, actions, recovery, and audit evidence before launch.

Included fields
Scenario, role, source state, expected limit, allowed action, pass criteria, evidence, severity, rerun trigger, and owner.
02

Meeting knowledge base record model

Keep raw meeting evidence separate from reviewed decisions, actions, commitments, objections, risks, and unresolved questions.

Included fields
Record type, required fields, authority default, review owner, access rule, lifecycle trigger, retrieval behavior, and source evidence.
03

Meeting notes to CRM field map

Decide which meeting outputs may create an activity, propose a task, or never overwrite a consequential CRM field automatically.

Included fields
Field purpose, evidence, owner, write mode, approval, conflict behavior, idempotency scope, verification, and retention.
04

Corporate knowledge base contract template

Define which source owns a recurring business answer and what happens when the record becomes stale, restricted, superseded, or disputed.

Included fields
Knowledge job, recurring question, authority, owner, audience, scope, lifecycle, access, conflict, escalation, verification, and status.

A template is useful only after somebody owns the decisions inside it.

Do not fill every row to make the worksheet look complete. Leave a field unresolved when the source, permission, owner, or acceptance rule is genuinely unknown. That gap is part of the result.

  1. Choose one questionUse a recurring decision with a visible consequence.
  2. Name the source and ownerRecord which evidence governs and who can correct it.
  3. Test the uncomfortable casesUse missing, stale, restricted, conflicting, and repeated inputs.
  4. Keep the worksheet with the systemReview it when sources, permissions, connectors, models, or actions change.

Questions before using the templates.

The files provide a starting structure. The organization still has to supply the real operating decisions.

Are these knowledge-base templates tied to one software vendor?

No. The CSV files describe business records, ownership, evidence, permissions, lifecycle, and verification. They can be adapted before choosing a wiki, CRM, meeting platform, search product, or AI implementation.

Which template should a team start with?

Start with the template closest to one repeated question or workflow. Use the corporate knowledge contract for source ownership, the meeting record model for durable meeting memory, the CRM field map for writeback, or the assurance case template when a system is ready to test.

Do the templates require an AI knowledge base?

No. Source authority, ownership, access, review, and acceptance testing also improve ordinary documentation, search, CRM, and workflow automation. Add AI only when it solves a verified retrieval or interpretation problem.

Do the sample rows prove compliance or implementation readiness?

No. Prefilled rows are examples of the decisions a team may need to make. Replace them with the organization’s real sources, owners, permissions, consequences, and acceptance evidence. The templates are not a certification or legal opinion.
