Start with the question the next person must answer
The useful question is not whether a contact belongs in a list. It is whether another person can explain the next step from the record alone. A connection acceptance, a comment on a post and a request for a proposal are different events. If all three become an undifferentiated interested lead, the next owner inherits a conclusion without its evidence.
A prospect record should preserve the reason for contact and the conversation that followed. For each claim, distinguish an observed fact, something the prospect stated, and an interpretation that still needs checking. A public hiring announcement might justify a relevant question. It does not establish budget, purchasing authority or a plan to buy your service.

Copy this prospect-context record
Use one compact record per conversation. Start with the fields below in your existing notes or approved CRM. Links should take the receiving person to the evidence, not simply to a company homepage. If a source cannot be shared with that person, record the access problem and assign someone to resolve it before relying on the claim.
Copy the field names and replace each bracketed value. Unknown is an acceptable entry. A blank field is ambiguous: it may mean nobody checked, the evidence is missing, or the information does not apply.
- Person and company: [profile URL; company; identity checked by whom]
- Source and date: [specific post, profile, message or internal record; date observed; source date if available]
- Verified fact: [narrow statement supported by that source]
- Working interpretation: [why this might be relevant; explicitly unverified]
- Open question: [what the prospect has not yet confirmed]
- Conversation: [latest reply and date; message reference; commitments already made]
- Next step: [one action; named owner; due date or agreed timing]
- Outreach state: [remaining scheduled activity; person responsible for reviewing or stopping it]
Worked example: a hiring signal becomes a limited request
The following example is fictional. It illustrates the record format, not a customer result or a measured campaign. Sam, an operations lead at Example Studio, posts about recruiting two delivery coordinators. After a relevant conversation, Sam asks for a short description of your handoff approach but says there is no project planned this quarter.
The outbound owner may be tempted to write: Sam is scaling and needs automation. That sentence combines an observation with an invented need. The receiving person would have no way to tell which part came from Sam. A better handoff keeps the evidence and its limits visible.
| Field | Fictional handoff entry |
|---|---|
| Source and date | Sam's hiring post, observed 6 October 2026; paste the actual post URL in a real record. |
| Verified fact | The post announces two delivery-coordinator openings. Budget and current handoff process are unknown. |
| Working interpretation | Hiring may make delivery coordination more complex. Sam has not confirmed that this is a problem. |
| Latest reply | 7 October: Sam requested a short process overview and said there is no project planned this quarter. Retain the original message reference. |
| Open question | Would the overview be useful to another person involved in delivery? Do not assume Sam is the buyer. |
| Commitment and owner | Maya will send the requested one-page overview by 8 October. No meeting was agreed. |
| Outreach state | The outbound owner must check remaining scheduled messages before Maya replies; do not send another generic meeting request. |
Use OutreachGenie for the outreach context it documents
For the outreach side of this workflow, OutreachGenie is one option from our team. Its official product facts describe keeping source context, notes, list membership and a next step with each prospect, alongside visual outreach flows and campaign oversight. That gives the operator a place to preserve why a conversation began. It does not establish whether a prospect has a buying need.
The public pricing page, checked on 7 October 2026, lists the software at $0 forever, with no trial clock, credit card, paid software tier or product-side quota. Its custom-priced done-for-you service is separate. LinkedIn's limits still apply, and automation can result in account restrictions; free software does not remove that risk.
Use the record above as an operator-maintained template. This guide does not claim that OutreachGenie creates those fields automatically, synchronizes them to a CRM, or integrates with AI Business Brain. Keep the approved handoff in the system your team already uses and verify any transfer before depending on it.
A reply changes both the record and the next action
When a prospect replies, read the message before classifying it. Please send the details is permission for a specific next step; it is not evidence of a qualified opportunity. Contact my colleague changes the intended recipient. Not interested should not become a reminder to try another pitch. Preserve the request in the record so the next owner can act on what was actually said.
Check the remaining outreach activity at the same time. Creating a handoff note does not itself stop scheduled messages. Do not assume that every flow stops automatically on a reply. The operator should inspect the configured behavior and confirm what will happen before another action can run. The handoff is incomplete while two people believe the other owns the next message.
Use a simple acceptance step: the receiving owner acknowledges the source, requested action and timing. Until that happens, the outbound owner remains responsible for resolving ambiguity. If a promised deadline cannot be met, update the plan before sending a contradictory message.
Promote a reviewed handoff into company knowledge
An outreach note becomes useful company knowledge when someone can trace a statement back to its source and understand whether it is still current. The record may support a sales call, an account brief or a later delivery handoff. It should not quietly turn an old public signal into a permanent fact about the account.
Before copying the record into a CRM, resolve the person and company identity. Match the intended record, preserve the source and its date, and decide which fields the new evidence may update. A new title on a profile is a reason to review an existing role entry; it is not a reason to overwrite unrelated account data. After a manual or automated transfer, open the destination and check that the intended values arrived.
The same distinction matters after a call. Our guide to connecting meeting notes to a CRM covers identity, controlled updates and destination verification. For this initial outreach handoff, start with a reviewed record and a named owner before considering a larger integration.
Keep private conversation details within the audience that needs them. A useful account summary can retain the relevant request and source reference without copying the entire message history into every shared document. If the source becomes unavailable or contradictory, label the uncertainty and ask the owner to review it.
Test whether another person can continue the conversation
Review a small set of real handoffs before expanding the process. Ask the receiving person to explain why contact began, what is verified, what remains unknown and what they should do next. Do this from the record, without coaching from the original sender. Each clarification request identifies missing context that the template or review step should address.
Include an unavailable source, two people with similar names, an outdated job title, a reply that rejects the proposed next step, and a handoff with an already scheduled follow-up. For each case, the owner should either resolve the issue or state why work cannot continue yet.
Track missing-source records, repeated questions, corrections after handoff and conflicting follow-ups. Compare them with the team's earlier process if a baseline exists. These are checks on continuity, not promised conversion improvements. A useful handoff lets the next person make a justified decision with fewer unsupported assumptions.
