Adoption is an evidence problem
Start by fixing one repeated question in the place where the work already happens. Reliability and workflow fit create the first habit.
Choose a job people already need to do
A bounded workflow might prepare a handoff, find the current policy, assemble a customer brief, or route an unresolved issue. Write the expected answer, source, owner, and next action before building the interface.
If ordinary search and a well-maintained page solve the problem, use them. An AI knowledge base should earn its complexity by connecting evidence that is otherwise hard to assemble.
Show the source and the limits
A source link lets an employee verify an answer and report a stale or wrong record. State when the system does not know, when the evidence conflicts, and who owns the follow-up. That behavior is more useful than an assistant that answers every prompt smoothly.
Keep permission behavior consistent with the underlying systems. Adoption collapses quickly if employees discover that the tool exposes information they should not see.
Give feedback a real owner
A thumbs-up signal is not a maintenance process. Classify feedback as source problem, retrieval problem, answer problem, access problem, or missing workflow. Assign a response owner and a review window. Share what changed when a recurring problem is fixed.
Anthropic's evaluation guidance supports keeping representative tasks and reviewing failure patterns. The same discipline makes employee feedback actionable.
Measure useful use, not forced use
Track repeat use in the target workflow, source clicks, correction rate, unresolved questions, successful handoffs, time to useful answer, and bypass behavior. Compare results by role and task. A high query count with low trust is not adoption.
Roll out gradually, keep a human path, and let evidence decide whether to expand. An AI knowledge base becomes part of work when employees can rely on it and improve it.
Roll out through a real job
Choose a repeated question with a visible cost, such as preparing a handoff, finding a current policy, or routing an unresolved issue. Put the answer in the tool employees already use and show the source, owner, and next action. Keep a human route for uncertain cases.
Train with real examples, including a wrong answer and a missing source. Employees need to know how to verify, correct, and escalate, not just how to phrase a prompt.
Measure trust and repair the causes
Track repeat use in the target workflow, source clicks, correction rate, unresolved questions, successful handoffs, time to a useful answer, and bypass behavior. Segment by role and task because a high query count can hide low trust.
Give every feedback category an owner and a service window. Tell users what changed when a recurring problem is repaired. Adoption grows when the system responds to corrections and remains safe when it cannot answer.
The LeanOrchestr Business Brain connects approved company sources, preserves access boundaries, and turns useful context into a maintained operating layer. Start with one question, one accountable owner, and an evaluation set you can rerun.
Sources and verification
